Information on cookies and the processing of personal data on the University Portal system websites

Methods of managing the site with reference to the processing of personal data of users who consult it.

1. Why this notice

This is an information notice regarding the protection of personal data, provided pursuant to Articles 13 and 14 of EU Regulation no. 2016/679 and current national legislation, relating to the protection of individuals with regard to the processing of personal data and the free circulation of data, and other current laws, to those who generally interact with the University Portal starting from the address: http://www.uniroma1.it corresponding to the homepage of the University Portal.
The information is provided for all sites of the "University Portal" and not for other websites that may be consulted by the user via links. The information is also inspired by Recommendation no. 2/2001, which the European authorities for the protection of personal data, gathered in the Group established by art. 29 of directive no. 95/46/CE, adopted on May 17, 2001, to identify some minimum requirements for the collection of personal data online and, in particular, the methods, times, and nature of the information that data controllers must provide to users when they connect to web pages, regardless of the purposes of the connection.

2. Types of data processed

Sapienza - Università di Roma, as data controller, announces that following the insertion of your information on this site or through authentication to the University's web services, data relating to identified or identifiable persons may be processed.

To delete cookies already stored on your device

2.2 Telematic traffic data

The IT systems and software procedures used to operate the University Portal websites acquire, during their normal operation, some personal data whose transmission is implicit in the use of Internet communication protocols or is used to improve the quality of the service offered.
This is information that is not collected to be associated with identified interested parties, but which by its very nature could, through processing and association, allow users to be identified.
This category of data includes:

IP addresses or domain names of the computers used by users who connect to the site;
The URI (Uniform Resource Identifier) addresses of the requested resources;
The time of the request and the method used in submitting the request to the server;
The size of the file obtained in response;
The numerical code indicating the status of the response given by the server (successful, error, etc.);
Other parameters relating to the user's operating system and IT environment.
This data is kept for thirty days, unless otherwise provided for by current legislation.
This data is used to obtain anonymous statistical information on the use of the site and to check the correct functioning of the IT systems.

The data could also be used to ascertain responsibility in case of hypothetical cybercrimes or if damages occur to the University or to third parties. Such data is processed in compliance with the provisions of D.R. 271/2009 Annex B art. 14 and may be communicated to the Judicial Authority in case of investigations, inspections, etc.

2.3 Data provided voluntarily by the user

The optional, explicit, and voluntary sending of e-mails, messages, or any type of communication addressed to the contacts indicated on the University Portal entails the subsequent acquisition of the sender's address or any other personal data that will be used to respond to requests. It is ensured that such processing will be based on the principles of correctness, lawfulness, and transparency and protection of confidentiality pursuant to Article 13 of GDPR 2016/679.
Specific summary information will be progressively reported or displayed on the pages of the sites prepared for particular requested services.

3. The Data Controller

The Data Controller of the data covered by this information notice is Sapienza - Università di Roma, with registered office in P.le Aldo Moro 5, 00185 Rome.
The "Data Processors" are the directors of the administrative, service, teaching, and scientific structures that process the data (the list of directors of the structures is available on the website www.uniroma1.it).

4. Optional nature of data provision

6. Rights of the data subjects

Pursuant to Article 11 of GDPR 2016/679, the data subject to whom the personal data refers has the right to:
obtain confirmation of the existence or otherwise of data concerning him/her, even if not yet registered, and their communication in intelligible form.
obtain an indication of:
a) the origin of the personal data;
b) the purposes and methods of processing;
c) the logic applied in case of processing carried out with the aid of electronic instruments;
d) the identification details of the data controller, data processors, and the representative designated pursuant to Article 5, paragraph 2;
e) the subjects or categories of subjects to whom the personal data may be communicated or who may become aware of them as designated representative in the territory of the State, as managers or agents.
